PAIA Manual
Prepared in accordance with Section 51 of the Promotion of Access to Information Act (No. 2 of 2000).
1. Introduction
This manual is designed to assist potential requesters in the procedure they must follow when requesting access to records from Trezor Fine Art Gallery as contemplated in PAIA and POPIA.

3. The Guide on How to Use PAIA
A Guide has been compiled in terms of Section 10 of PAIA by the Information Regulator. It contains information required by a person wishing to exercise any right contemplated by PAIA and POPIA.

4. Records Available Without Request (Voluntary Disclosure)
The following records are automatically available via our website and do not require a formal PAIA request:
- Art Gallery Catalogues & Product Lists
- Artist Biography & Statements
- Public Marketing Material
- Framing & Care Guides
5. Description of Records Held (Subject to Request)
We hold the following categories of records. Access to these may be refused based on legal grounds of confidentiality or privacy:
- Internal Financial Records: Invoices, tax records, and asset registers.
- Customer Records: Order history, shipping addresses, and contact details.
- Artist Records: Consignment agreements and exhibition contracts.
6. Processing of Personal Information (POPIA)
In terms of POPIA, we process personal information for the following purposes:
- To process and deliver art orders.
- To manage the “Collector’s List” (Newsletter) for those who have opted in.
- To comply with tax and audit obligations (SARS).
Categories of Data Subjects:
- Clients: Name, email, phone number, physical address.
- Suppliers/Artists: Name, bank details (for payments), VAT numbers.
7. How to Request Access
To request access to a record, the requester must use the prescribed Form 2 (available on the Information Regulator’s website).
- The request must be sent to the Information Officer at the email address provided in Section 2.
- A prescribed request fee may be payable before the request is processed.
